2. Personal data we process

Depending on how you use the website, we may process:

  • contact and identification data, such as your name, company, email address and, if provided, telephone number;
  • project information, such as project location, building type, project stage, requested service and the content of your message;
  • documents and other files that you voluntarily upload through the contact form;
  • technical data generated when the website is used, such as IP address, date and time of access, requested page, browser or device information, and security or server-log data;
  • cookie preferences and other technically necessary website settings.

Please do not upload unnecessary personal data. Project documents should be limited to information required for the initial assessment. Do not submit special-category personal data or confidential third-party information unless this is necessary and you are authorised to do so.

3. Purposes and legal bases

Responding to enquiries and preparing a possible engagement

We process the information submitted by email or through the contact form to assess and respond to your enquiry, clarify the requested scope and, where applicable, take steps before entering into a contract. The legal basis is Article 6(1)(b) GDPR. For enquiries submitted by representatives or employees of companies, processing may also be based on our legitimate interest in professional B2B communication and business development under Article 6(1)(f) GDPR.

Performance of contracts and compliance with legal obligations

If an enquiry leads to an engagement, relevant data may be processed for contract administration, project delivery, invoicing, accounting and compliance with legal obligations. The legal bases are Article 6(1)(b) and Article 6(1)(c) GDPR.

Website operation and security

Technical and server-log data may be processed to provide a secure and reliable website, prevent misuse, investigate incidents and protect legal claims. The legal basis is our legitimate interest under Article 6(1)(f) GDPR.

Optional cookies and similar technologies

If optional analytics, functional or marketing technologies are introduced, they will be activated only where the required consent has been obtained. The legal basis for related personal-data processing is Article 6(1)(a) GDPR. Consent may be withdrawn at any time through the cookie settings, without affecting processing carried out before withdrawal.

4. Contact form and file uploads

Fields marked as mandatory are required so that we can assess and respond to your enquiry. Other fields are voluntary. If required information is not provided, we may be unable to process the enquiry.

Attachments may contain technical, commercial or personal information. They are used only for assessing the enquiry and, if cooperation begins, for providing the agreed services. Appropriate access controls are applied, but no internet transmission can be guaranteed to be completely secure.

5. Recipients and service providers

Personal data may be accessed, where necessary, by authorised persons working for Zan klima, s. r. o. and by service providers supporting website hosting, domain and email services, website maintenance, contact-form delivery, data storage, IT security, backup or spam protection. These providers act under contractual and confidentiality obligations where required.

Data may also be disclosed to professional advisers, public authorities or courts where this is required by law or necessary to establish, exercise or defend legal claims.

6. International transfers

We aim to use service providers that process data within the European Economic Area. If a provider processes data outside the EEA, the transfer will take place only on a lawful basis, such as an adequacy decision or appropriate safeguards, including the European Commission’s standard contractual clauses where applicable.

7. Retention periods

We retain personal data only for as long as necessary for the relevant purpose:

  • unsuccessful or preliminary enquiries: normally for up to 12 months after the last meaningful communication;
  • project and contractual records: for the duration of the engagement and subsequently for the period necessary to meet legal obligations and protect legal claims;
  • accounting and tax documents: for the period required by applicable law, generally ten years;
  • technical security logs: normally for up to 90 days, unless longer retention is required to investigate an incident or protect legal claims;
  • cookie preferences: for the period stated in the Cookies Policy.

A longer period may apply where required by law, an authority, an ongoing dispute or the establishment, exercise or defence of legal claims.

8. Your rights

Subject to the conditions of the GDPR, you may request access to your personal data, rectification, erasure, restriction of processing and data portability. You may object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time.

9. Automated decision-making

We do not use personal data submitted through this website for automated decision-making or profiling that produces legal or similarly significant effects.

10. Changes to this policy

We may update this Privacy Policy when the website, our processing activities or applicable requirements change. The current version will be published on this page with its effective date.
